The shortest working process
Open the scanned invoice, apply OCR, then use the editor to correct the recognised text. Save the result under a new filename so the original scan remains available.
- Preserve the original file.
- OCR the page containing the error.
- Correct text only after recognition.
- Recheck totals, tax, dates and supplier details.
Where OCR commonly fails
Small decimal points, faint characters, table borders, stamps and low-contrast scans can be misread. Compare every financially significant field with the source image before sending or importing the corrected document.
When not to edit
If the invoice has already been issued or booked, the correct process may be a credit note or replacement invoice rather than modifying the PDF. The software solves the file-editing task, not the accounting decision.
Limits to check before paying
- Never treat OCR output as financially authoritative without checking it.
- Editing issued invoices may have accounting or legal consequences.
- Keep the unmodified source and record why a correction was made.
